Procurement Administrator

Department:        Finance
Reporting Line:  Director Business Support
Job Objective:     Provide procurement support which includes; supplier prequalification, purchase order processing, supplier management, financial analysis of deals and other procurement duties as required
Key Duties & Responsibilities:
  • Ensure the implementation of procurement policy and plans aimed at cost-effective acquisition of high-quality materials, goods and services
  • In liaison with the relevant departments, determine the Company’s procurement needs, specifications and supplier performance reviews
  • Support in supplier prequalification and supplier onboarding
  • Support in the bidding process and preparing pre-qualification documents; e.g. request for proposal (RFP), request for quotation (RFQ) etc
  • Support in technical and financial analysis of procurement deals
  • Maintaining accurate and up to date supplier records on NetSuite
  • Support in supplier contract management
  • Preparation of purchase orders
  • Monitor NetSuite purchase order approvals to ensure timely processing
  • Auditing of supplier billing vs active services on NetSuite vs actual network components
  • Support in network cost optimisation through liaison with Network Administration and Operations teams
  • Ensure procurement processes comply with the procurement policy
  • Support in supplier benchmarking and market survey
  • Provide day to day administration support to the department
Minimum Qualifications: 
  • Bachelor’s degree in Purchasing and Supplies Management or its equivalent
  • Registered member with Kenya Institute of Supplies Management (KISM) or Certified Institute of Purchasing and Supplies (CIPS)
  • IT proficient
Experience & Skills: 
  • Minimum of four (4) years’ work experience in purchasing and supplies management in a large organisation
  • Demonstrated knowledge of procurement/contracts principles, contracts administration and finance or accounting
  • In-depth knowledge of sourcing and procurement principles and best practices
  • Familiarity with relevant legislative and regulatory requirements, as well as an understanding of standard contractual terms and conditions to mitigate legal risk
  • Possess strong negotiation skills
  • Must exhibit a flexible work attitude with the ability to work productively in a team
  • Ability to work well independently to meet unexpected demands
  • Be client-centric and resourceful in problem-solving
  • Have good interpersonal, communication and presentation skills
  • Telecommunications experience is preferred
