Job Objective

 

The Fleet Specialist will oversee the management and maintenance of all vehicles used by our Field Engineers and other designated drivers across all WIOCC jurisdictions. He/ She will be responsible for creating, implementing and managing all fleet processes end-to-end to ensure efficient and cost-effective operations.

Key Duties & Responsibilities

Fleet Management

    • Develop and implement a comprehensive fleet management strategy and policies

    • Oversee the acquisition, maintenance and disposal of fleet vehicles

    • Ensure vehicles are maintained in accordance with manufacturers’ specifications and company standards

    • Coordinate with vendors for vehicle servicing, repairs and procurement of parts

    • Ensure cost-effective negotiation of all vehicle repairs/maintenance quotations from vendors in line with procurement price guidance

    • Manage and oversee fuel card management

    • Manage third-party drivers

Operational Efficiency

    • Implement efficient processes for scheduling, dispatching and tracking vehicles

    • Monitor and analyse fleet performance, including fuel consumption, insurance & licencing, vehicle utilisation and maintenance costs

    • Ensure compliance with all local, state and federal regulations related to fleet operations

    • Develop and implement fleet policies and guidelines to company vehicle usage

    • Operationalise the Pool Car Usage Guideline and ensure compliance by all employees

    • Manage relationships with suppliers and service providers including negotiating contracts whilst ensuring service quality

Safety and Compliance

    • Develop and enforce safety protocols for vehicle operation and maintenance

    • Conduct regular safety training sessions for Field Engineers and other company designated drivers on safe driving practices and vehicle care

    • Generate and maintain accurate records of vehicle inspections, incidents and accidents. Budget Management

    • Prepare and manage the fleet budget, ensuring cost-effective operations

    • Identify cost-saving opportunities and implement measures to reduce operational expenses

    • Generate reports on fleet expenses, including fuel, maintenance and repairs

Traffic Fine Management

    • Develop and implement a process for monitoring and tracking traffic fines incurred by fleet vehicles

    • Establish a system to review and verify traffic fines, ensuring accuracy and timely payment

    • Coordinate with the relevant departments or local authorities to resolve any disputes related to fines

    • Maintain a comprehensive database of all fines, including payment status, dispute outcomes and deadlines

    • Ensure that drivers are held accountable for their actions, with clear communication about traffic fines and consequences.

    • Educate drivers on road safety and the importance of adhering to traffic laws to minimise fines

    • Allocate costs associated with traffic fines to specific departments or individuals, as appropriate, for accountability.

Minimum Qualifications 

    • Bachelor’s degree in Logistics, Business Administration, or a related field

    • Minimum of 5 years of experience in fleet management or a similar role

    • Strong knowledge of GPS tracking systems

    • Excellent organisational and problem-solving skills

    • Ability to manage multiple tasks and prioritise effectively

    • Strong communication and interpersonal skills

    • Valid driver’s license and clean driving record

    • Familiarity with the regulatory environment related to fleet operations in South Africa is advantageous

    • Meticulous attention to detail in managing the vehicle records, safety checks and compliance records

Experience & Skills

    • Identify and rectify data inconsistencies and errors within the organisation’s databases

    • Conduct thorough data analysis to identify patterns, trends and discrepancies

    • Collaborate with cross-functional teams to understand data requirements and rectification needs

    • Develop and implement data rectification strategies, procedures and best practices

    • Utilise data management tools and software to clean, validate and correct data

    • Perform data audits to ensure data accuracy and adherence to quality standards

    • Work closely with stakeholders to resolve data-related issues and provide timely updates

    • Maintain comprehensive documentation of rectification activities, processes and outcomes

    • Monitor data quality metrics and generate reports to track progress and identify areas for improvement

    • Stay up to date with industry trends and advancements in data management techniques
